Who we are
Link Flow Affiliates (“Link Flow”, “we”, “us”) is a performance marketing platform for brands and affiliates. Brands list products; affiliates promote them and compete for tier positions on a 10-tier leaderboard.
Top-tier affiliates can earn a commission on every tracked sale for a product — not only on the sales they personally referred. We also credit the referring affiliate when a sale comes from their link. This policy explains what we collect, why we use it, and how you can ask us to update or delete information.
This policy covers the main Link Flow website, brand and affiliate dashboards, tracking tools, and related Shopify app integrations that connect store sales into Link Flow.
What data we collect
We only collect information needed to run affiliate tracking, tier rankings, commissions, payouts, and account access:
- Account information: name, email address, password or sign-in credentials (handled by our auth provider), and role (brand, affiliate, or admin)
- Brand data: brand name, profile details, prepaid balance / billing status, brand key, tracking install status, and connected store information (such as a Shopify shop domain when the app is used)
- Affiliate data: profile details, social links you choose to add, referral codes and links, ranking metrics (referred sales and revenue), and payout preferences
- Product and commission data: product names, prices, destination URLs, images, commission rates, and the 10-tier commission ladder for each product
- Order and attribution data: order ID or order number, order amount, currency, product ID and product name (when available), referral code (for example an fa_ref code), shop domain, and timestamps
- Click and conversion activity: when a referral link is used, whether a visit converted, and related technical logs needed for attribution
- Technical and connection data: IP-related hashes or device/browser signals used for fraud prevention and click integrity, app access tokens when a store is connected, webhook and pixel install status, and basic server logs
- Payment-related data: payout and deposit records through our payment provider (we do not store full card numbers on Link Flow servers)
What we do not collect
We do not collect or store end-customer personal contact details for shoppers who buy from a brand’s store. In particular, we do not collect:
- Customer name
- Customer email address
- Shipping or billing address
- Phone number
Our tracking is about order and referral attribution for commissions — not building shopper marketing profiles or selling ads based on customer identity.
How we use data
We use the information above to:
- Create and secure accounts and show the right dashboard for each role
- Attribute visits and orders to the correct affiliate (first-click referral tracking)
- Rank affiliates on each product’s competitive 10-tier ladder and assign exclusive tier seats
- Calculate tier commissions and referral commissions, debit brand prepaid balances, and support affiliate payouts
- Power brand and affiliate dashboards (sales, clicks, conversions, commissions, payouts)
- Keep tracking working (scripts, web pixels, webhooks, and store connections)
- Prevent fraud, abuse, ranking manipulation, and technical misuse
- Operate, secure, and improve the platform, and communicate important service messages
Tracking, cookies, and local storage
When someone clicks an affiliate referral link, we may store attribution data so the first affiliate who referred a visitor can be credited from landing page through checkout.
- First-click attribution: the first valid affiliate referral is remembered for a limited time
- Storage: a first-party cookie and/or browser localStorage value (commonly named fa_ref or similar) on the brand storefront or tracking surface
- Window: about 90 days — after that, a new affiliate click may become the active referrer
- Purpose: sales attribution and commission calculation only — not third-party advertising networks or ad retargeting by Link Flow
Brands who install our tracking snippet or Shopify app enable this attribution on their own storefront or checkout confirmation flow. Merchants should ensure their own site privacy notices cover tools they install.
Sharing
We do not sell personal data. We do not share order or account data with third parties for advertising brokerage.
We share data only with service providers that help us run the platform, and only as needed for that purpose. Categories of providers include:
- Hosting and infrastructure (application hosting, databases, file storage)
- Email delivery (account confirmation, security, and service messages)
- Payment processing (brand deposits / prepaid funding and affiliate payouts)
- Authentication and security services that support sign-in
These providers process data under agreements that limit use to providing their services to us. We may also disclose information if required by law or to protect the rights, safety, and integrity of the platform and its users.
How long we keep data
In general, we keep information while your account (or connected store) is active and for a reasonable period afterward so commissions, rankings, and history can still be reviewed.
- While active: account, product, referral, click, order attribution, commission, and payout records needed to operate dashboards and pay affiliates
- After account closure, uninstall, or last activity: we typically aim to retain commission and audit history for up to about 24 months, unless you ask us to delete sooner or law requires a different period
- Security and server logs: kept for shorter operational windows unless needed for investigations
Some financial or legal records may need to be kept longer when the law or payment rules require it.
Deletion, uninstall, and your rights
You can ask us to update or delete personal information we hold about you.
- Email support@linkflowaffiliates.com with the email on your account (and shop domain, if relevant) and what you want updated or deleted
- Brands and affiliates can update many profile fields inside their dashboards
- If you uninstall a connected Shopify app, we clear active access tokens and tracking credentials for that install
- When Shopify sends a required shop-level deletion request (for example shop/redact), we process it and remove store data we hold for that shop
- Because we do not store customer name, email, address, or phone, customer-level redact or data-request webhooks typically confirm that we hold no customer contact information
We may retain limited records where needed for financial reporting, dispute resolution, fraud prevention, or legal obligations, even after a deletion request.
Security
We use reasonable technical and organizational measures to protect data (including access controls, encrypted connections in transit where applicable, and least-privilege practices for staff and systems). No online service is 100% secure; please use a strong password and protect your login.
Children
Link Flow is built for businesses and professional promoters. It is not directed at children under 16, and we do not knowingly collect personal information from children.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will change the “Last updated” date on this page. Continued use of the platform after an update means you accept the revised policy.
